Gastonia, NC – Carolina Orthopaedic & Sports Medicine Center (COSMC) have chosen Surgimate to manage their surgical scheduling workflow. COSMC have five board-certified, fellowship-trained surgeons that are the leading orthopaedic experts in Gaston County. They offer exceptional care for bone, joint, and muscle injuries and conditions.
COSMC’s surgical scheduling staff runs the back office in a cohesive and organized manner, including an effective way to track surgeries and cross check information to avoid errors. However, a Workflow Analysis at COSMC found that an excessive number of applications were used to carry out these tasks. They were also using a number of workarounds within the applications to get the jobs completed. These other applications were simply not designed to carry out the niche tasks involved in the surgical scheduling process. As a result, the COSMC schedulers were spending almost 45 minutes on redundant tasks for each surgery they scheduled.

Augusta Orthopedic & Sports Medicine Specialists is an eight surgeon practice in Augusta, Georgia. Their surgical scheduling workflow was completely paper driven and manual. Forms were completed by hand or even a typewriter(!), and office calendars were filled out manually and in multiple places (including a whiteboard!). Furthermore, their medical forms and official documents were physically couriered between offices and surgical facilities. Needless to say, their scheduling system was inefficient and difficult to maintain.
At this point, Augusta Orthopedic realized they needed to make some big changes. They decided to automate their surgical scheduling process, and went live with Surgimate in October of 2015. Now, all their forms are generated automatically, they have one electronic surgical calendar that is synchronized and accessible to anyone in the practice, and all surgical data is stored inside Surgimate. RTR Urology had one surgical scheduler in place to coordinate surgeries for three busy surgeons at two different facilities. Each day, she typed the schedule into Outlook and completed all the paperwork by hand. It was a struggle to keep up with the workload, and difficult for anyone else to cover for her. So when RTR added a fourth surgeon to the practice, and another new location for surgery, they decided to overhaul their surgical workflow.
RTR chose Surgimate to automate all of their paperwork and manage the surgical schedule electronically, inside one centralized calendar. Now, their surgeons receive instant updates to their phones using SurgiApp – keeping them in the loop with block time and any scheduling changes. The scheduler selects customized templates to enter surgery details, including CPT and diagnosis codes, making it easy for other staff members to fill in for her when she is out of the office.

Central States Orthopedics (CSO) is the latest surgical practice to add Surgimate to their surgical workflow. CSO is a 19 surgeon practice in Tulsa, Oklahoma with surgery being performed in 4 different hospitals. With so much patient and surgeon data across different locations, scheduling can be overwhelming without an efficient and synchronized system. Schedulers have been using multiple systems to schedule surgeries and manually type in data to generate forms, creating a workload that was impossible to keep up with and forcing many schedulers to work overtime. This was causing high levels of stress for the staff members and many hours of lost time that could have been used for more productive tasks. Central States Orthopaedics decided to implement Surgimate as a solution to their problematic set up. They will be using Surgimate to cut down on scheduling time and give management access to better data for their scheduling department. Surgimate’s digital platform gives the management team all the information they need at their fingertips, and allows practices to run more smoothly. OrthoWilmington has a team of 23 orthopaedic physicians servicing the Wilmington, North Carolina and surrounding region. Willamette ENT–a leading Salem, Oregon-based provider of ear, nose, throat and facial plastic surgery–chose Surgimate to stay true to their goal of providing the highest quality patient care and service through improved efficiency.
The practice found that with multiple surgical locations and physicians, it was difficult to streamline bookings, resulting in many backlogs and cancelled surgeries. Schedulers were unable to give patients adequate information about surgical costs or keep track of important steps and clearances in the surgical process. Not only did this cost the practice financially, it also prevented Willamette ENT from giving their patients the experience they felt they deserved.
